About Administrative and Financial Affairs

The Administrative and Financial Affairs Department works on completing and following up on administrative transactions using the administrative communication system, in addition to following up on administrative and financial requests related to the Deanship’s employees in accordance with the procedures in force by law. This department also monitors the preparation of the budget and the preparation of periodic and annual financial reports. The administration also secures work requirements for all departments and units of the Deanship in the main branch in the city of Arar or the branches, and seeks to carry out continuous follow-up to work and evaluate the performance of the Dean’s employees. In addition, this department is entrusted with following up on all warehouses affiliated with the Deanship, carrying out periodic inventory of them, reviewing data on technical assets on the system designated for this, receiving imports of technical equipment or software from companies contracting with the Deanship of Information Technology, and delivering pledges and dignitaries to the employees of the Deanship. The operations are carried out through the Administrative Affairs Unit, Financial Affairs Unit, and Asset and Inventory Management Unit.

 

Administrative Affairs Unit

This unit is entrusted with the following tasks:

  • Develop future strategic plans for quality management in the Deanship, and follow up on the necessary procedures to achieve this.
  • Preparing periodic reports and statistics on performance levels, beneficiaries' satisfaction, management activities and achievements, and proposals for developing work in it, and submitting them to the Dean.
  • Preparing job performance evaluation for the staff of the Deanship.
  • Participate in the development and implementation of strategic plans for the Deanship.
  • The duties of the Administrative Affairs Unit are as follows:
    • Completion and follow-up of administrative transactions in the Deanship.
    • Follow up the attendance and leave statements, and submit them to the Director of the Financial and Administrative Affairs Department.
    • Spreading the culture of work, and activating the specialized and approved training programs in order to raise the performance of the administrative and technical staff of the Deanship, in coordination with the Development and Quality Unit in the Deanship.
    • Follow-up requests from the Dean's employees for evaluation and vacations, and to carry out work tasks and promotions.
    • Exporting and following up the outgoing and incoming administrative transactions at the Deanship using the Administrative Communications System.
    • Circulating reports and archiving outgoing and incoming transactions and letters to the Deanship

 

Finance Affairs Unit

The tasks of the Financial Affairs Unit are as follows:

  • Coordination and follow-up with the concerned authorities in the Deanship and outside it to prepare the budget of the Deanship.
  • Coordination and follow-up of the procedures for receiving and handing over the covenant related to the employees of the Deanship.
  • Follow up the financial requests related to the employees of the Deanship in accordance with the procedures in force in the system.
  • Preparing periodic and annual financial reports for the Deanship.
  • Reviewing, auditing, keeping and archiving the financial files and extracts of the companies contracting with the Deanship of Information Technology.

 

Asset and Inventory Management Unit

The tasks of the Asset and Inventory Management Unit are as follows:

  • Manage all IT assets that include all software, hardware, equipment and digital assets, through the asset management system.
  • Carrying out the receipt of technical assets supplied by companies contracting with the Deanship of Information Technology or the university's warehouses, registering them in the asset management system, and storing them in the deanship's warehouses in accordance with the approved rules and regulations of the university.
  • Delivering the technical equipment stored in the warehouses to the beneficiary units within the Deanship according to a specific organizational mechanism.
  • Conducting a quarterly inventory of all assets stored in warehouses, and ensuring their conformity with the asset management system.
  • Carrying out an annual inventory of all technical assets and ensuring their conformity in the asset management system
